These rules apply to bookings made in person, by phone, via email, or through our official website. Clients book packages directly through our official website. We confirm pre-bookings only after sending an official Client Confirmation Letter. To receive this letter, clients must complete our booking form with accurate details, including names, addresses, emails, phone numbers, and travel dates.
Furthermore, travelers must submit a 20% advance payment alongside the completed booking form. Once we receive both items, we issue your confirmation letter via email or fax. By booking with us, you confirm that you have read and understood these Nepal travel booking terms. If you book on behalf of another person, you ensure that they also agree to these conditions. If you wish to cancel a booked trip, our cancellation policy applies. You must provide written notice detailing your reasons. We assess cancellation fees based on the following timeline:
Cancellation within 30 days: We retain 15% of the total amount.
Cancellation between 30 and 15 days: We retain 20% of the total amount.
Cancellation between 15 and 7 days: We retain 25% of the total amount.
Cancellation between 7 and 0 days: We retain 100% of the paid amount. However, you may postpone your trip for up to two years if you notify us at least seven days in advance.
If unforeseen circumstances force us to cancel a trip, we refund your full payment. Alternatively, we may offer a comparable replacement package. If you fail to show up or leave a trip midway, we retain the entire payment without issuing refunds. Non-compliance with these rules may result in booking cancellation with zero refunds.
Comprehensive travel insurance is mandatory for all clients. Himalayan adventures involve inherent risks, including extreme weather, avalanches, and natural disasters, which can cause severe injury or worse. Therefore, your policy must cover pre-existing medical conditions, natural disasters, trip cancellations, and emergency evacuations (including helicopter rescue and air ambulance services at high altitudes). It must also cover lost gear and personal liability.
If you fail to provide proof of insurance upon request, we reserve the right to cancel your participation without a refund.
We retain the right to modify trip itineraries when unexpected situations arise. Weather conditions, natural disasters, political unrest, or strikes may force us to alter schedules before or during a trip.
Furthermore, if domestic flights experience delays or cancellations before your trip begins, we cover your food and accommodation costs. However, if return flight delays occur after your trip ends, you must cover your own expenses. Additionally, we cannot assume liability for missed international flights, and we offer no refunds in such cases, though we will gladly assist you in booking alternative flights.
Travelers must carry a valid passport with at least six months of validity remaining past their return date. You must also secure the appropriate Nepalese visa before arrival. We accept no liability if immigration authorities deny entry due to improper documentation, and we issue zero refunds under such circumstances.
Clients cover all personal expenses incurred before, during, or after the trip. The company does not fund personal purchases, including guide and porter tips, souvenir shopping, or extra hotel nights.
Report any trip-related issues directly to your guide or team leader first. Your guide will contact our office and take immediate corrective action. We welcome client feedback, suggestions, and comments at any time.
